If your quoting system currently consists of three screenshots, an old invoice and whatever number feels spiritually correct, we’ve got some housekeeping to do.
Start with the scope
Write down what you are actually supplying and doing. Break the job into sensible labour and material items so you can check the numbers instead of trusting one heroic lump sum.
Separate cost from sell price
Your cost is what the item or labour costs the business. Your selling price is what you charge the customer. Keeping those separate lets you see what has actually been allowed for before the quote leaves your hands.
Check quantities twice
A perfect unit price multiplied by the wrong quantity is still the wrong quote. Check measurements, hours, quantities and any allowances that can move.
Then check the whole quote
Review discounts, your tax settings, deposit settings and the final customer-facing total. Make sure the description is clear enough that both sides know what is included.
Do not hide assumptions from yourself
If a price depends on access, site conditions or information you do not yet have, record that clearly in the quote or your working notes.
